Guide · for office staff and administrators

Running Radial from the office

Setting up your company, team, customers and locations; posting and following jobs; approving hours; and billing the work.

Labels in boxes are exactly what the app shows.

Getting around

Sign in at app.radial-app.eu with your Email and Password. Everyone lands on the Dashboard. As an administrator your menu has, besides Dashboard, Route Planner and Job Pool, an Admin section:

Jobs
Job Management, Job Presets, Job Offers
Employee Management
Employees, Certifications, Hours Report
Locations
Anchor Points, Regions
On their own
Warehouses & Inventory, Customers, Billing, Partnerships, Company Settings

Anything you delete asks for confirmation first, except where this guide says otherwise.

First-time setup

A workable order for a new company:

  1. Company Settings: your Display name, contact details, and the Customer message language (German or English) for messages your customers receive.
  2. Certifications: the qualifications your jobs require, such as gas or electrical.
  3. Employees: your drivers and office staff, with the certificates each holds and their shift times.
  4. Regions, Anchor Points and Warehouses & Inventory: where your people work, start and pick up materials.
  5. Customers and Job Presets.
  6. Billing settings, if you invoice from Radial.

The app does not create sign-in accounts. The record in Employees holds everything else about the person.

Employees and certifications

Certifications

Add Certification with a Name and a Code (Unique ID), for example gas-safe. The code cannot be changed later. Jobs list the certifications they need, and drivers list the ones they hold; Radial only lets a driver claim work they are certified for, and the route suggestion follows the same rule.

Employees

Add Employee or edit a row. Every employee needs a Full Name, a System Role (Admin or Driver) and a Hub Address picked from the address search. For drivers you also set:

Shift Start / Shift End
The working day, as HH:mm. A shift may run past midnight.
Held Certifications
What this driver is qualified to do.
Search Region
Limits address search for this driver and sets the time zone their working day is counted in. Without one, address search uses the company default region and the working day is counted in UTC.
Anchor Points
Where their route starts and ends each day.
Constraint Mode
For jobs that cannot be reached inside their customer window: Hard — drop jobs outside their window or Soft — keep them with warnings.
Break
Earliest and latest start and the duration of the daily break.
Can publish follow-ups
Their proposed return visits become jobs without your approval.

When editing a driver you can also manage their saved anchor points and preset personal stops; deleting a preset personal stop happens at once, without a confirmation. Tick Disabled to take someone out of route planning and new assignments without deleting them.

Customers

Add Customer as a Company (company name required) or Private person (last name required), with email, phone and notes. Drivers see the notes on every job for that customer, so keep them to what helps on site.

Arrival notices sets how the customer hears that someone is on the way: none, email, SMS, or both. Email needs an email address, SMS a phone number. SMS is saved but not yet sent, because no SMS provider is connected.

The billing fields (Invoice Email, VAT ID, Billing Address and Hourly Rate Override) are used when you invoice. Leave the rate empty to use the company rate.

Warehouses, anchor points and regions

Warehouses and item types

Warehouses & Inventory has two tabs. Under Warehouses, add each site with its name, address, city, zip code and contact phone; drivers can add these as depot stops on their route.

Under Item Types, list the materials and tools your jobs use, each Reusable (Tool) or Consumable (Resource), with an optional unit price for invoicing. Stock records which warehouses carry an item. Radial is a catalogue, not a stock ledger: it does not count quantities.

Removing a stocked item from a warehouse, and deleting an item type, happen at once without a confirmation.

Anchor points

Anchor Points are named company locations, such as the yard or the office, that every driver can use as a route start or end.

Regions

Regions keep address search inside the area you work in and set the Working Day Zone, the time zone the working day is counted in. Mark one region as the company default with the star; drivers without a region of their own use it for address search, while their working day is counted in UTC until they have a region.

Posting and managing jobs

Job Management lists every job. New jobs go into the Job Pool, where eligible drivers claim them or Radial adds them to a driver’s suggested route.

Creating a job

  1. Tap Create Job. To start from a template, pick one under Job Presets; it fills the title, description and priority, and the planned duration, materials and visits where the preset has them.
  2. Type the Customer Name. Pick an existing customer to link the job and fill in their details, or add a new company or private customer on the spot.
  3. Enter the Job Title, Description and Priority, and choose any Required Certifications.
  4. Under Availability, add one rule per time the job can be done: the days, a From and To time, and optional first and last dates. Radial only routes the job inside these windows. A window may run overnight.
  5. Under Visits, keep Single visit, or switch to Multi-stop visits for work done in parts, such as two coats of paint with drying time between. Each visit has a duration and a wait after the previous one.
  6. Under Crew & Routing, set the Claim cap (how many people may work the job) and whether the optimiser may add it to routes (Optimizer eligible) or only drivers by hand (Manual only).
  7. Search the Address and pick a suggestion, then Create.

If anything is missing, the dialog lists what to fix, for example an availability rule with no days or two rules that overlap.

Job presets

Job Presets are templates for jobs you post often, each with a label, a code used in reports, a default title, description and priority, and optionally a planned duration, planned materials and visits.

Looking after posted jobs

  • Each row can be viewed, edited, escalated to emergency, or deleted. Escalating raises the job to Emergency priority and puts it in front of drivers as an alert.
  • Expiring lists jobs whose availability ends within two weeks. An expired job is not cancelled; it simply stops being routable, so extend its availability or remove it.
  • Follow-ups lists return visits drivers have proposed. Accepting creates the job and assigns it to the driver who proposed it; declining closes the proposal, so the driver can propose a new one.

The job page

Opening a job shows its customer, schedule, visits, required materials and certifications, which drivers have it on their route today, and its Protocol: every status change, note and photo from the field. You can add notes there too. Service Record summarises a finished job: travel, time on site, outcome, materials used and attachments.

Ask customer to confirm sends the linked customer a link to accept or decline the booked or proposed time, in your customer message language. The answer is recorded in the protocol and does not change the time. The customer needs an arrival-notice channel set.

Following the day

The Dashboard shows the size of your fleet, claimed and unclaimed jobs, a Today’s Schedule Pressure panel that warns when there is more work than drivers on shift, and a Live Operations map of open jobs and today’s planned routes.

In Route Planner, pick a driver to see their planned route for the day in order. Personal stops appear as stops, with their labels hidden unless the driver has turned on Show personal stops. For the selected driver you can also record which vehicle they take that day.

You see each driver’s planned route, which updates as jobs are added and completed. Radial never shows management a driver’s live GPS position.

Hours and sign-off

Drivers confirm their hours at the end of each day. Hours Report rolls them up by day, week or month for everyone or one Employee, and shows which days are Signed off and which are still unconfirmed.

Open a row to see each day’s times and where they came from: Recorded by the app, From plan, Driver stated or Edited. From there:

  • Approve records that the office has accepted the day. It does not sign the day off for the driver; both show side by side.
  • Edit day corrects the worked blocks and breaks. Corrections are marked as edited, and the day keeps its sign-off state. A correction clears an earlier approval, so approve the day again afterwards.

Billing

Billing has three tabs.

Settings

Set the Currency, Default hourly rate and Default rounding, a travel tariff (flat fee, the distance it covers, and a per-km rate), the base location travel is measured from, and the billing time zone.

Invoices

  1. Generate Invoice for a single completed or failed job, or for one customer’s month. You can also generate one from a row in Job Management.
  2. Radial drafts the lines from the recorded work: labour, travel and materials. Lines that need a look are flagged, for example an estimated distance or an item with no price on file.
  3. Adjust lines, add a discount or notes, then Save draft. Render preview shows the document.
  4. Issue gives the invoice its number. Issued invoices cannot be edited, only cancelled, which frees their jobs to be billed again.

Drafts waiting for you are listed under the invoice bell at the top of the screen.

Agreements

An agreement drafts a customer’s invoice automatically each month. Pause it with Active, or end it.

Partnerships and job offers

Radial companies can pass work to each other. Under Partnerships, Propose Partnership with the other company’s Radial hostname. They accept or decline, and either side can end it later. Your company needs a display name in Company Settings first.

To pass a job to a partner, find it in Job Management and use Offer to partner on its row, then pick the partner. The action appears once you have an active partnership, and only a pending job nobody has claimed can be offered. It stays in your pool until they accept.

Job Offers lists work offered between you and your partners. You can Accept or Decline an incoming offer, Withdraw one you sent, and View what was offered.
